We comply with the ICO rules applicable to our activities. Following the introduction of structured enquiry records, our data-protection fee position is being reassessed and we will pay the fee where required.

When you submit the Project Briefing form or contact us by email, we collect the information you choose to provide. This typically includes your name, organisation, work email, preferred contact method, enquiry details and any document you attach.

We do not use advertising trackers, and we do not collect analytics or profiling data through this site.

We use your information solely to respond to your enquiry, arrange discussions, prepare proposals and provide our services.

Our lawful basis is our legitimate interests in responding to enquiries about our services and, where we enter into a contract, the performance of that contract. We do not use your information for marketing without your consent.

Project-brief submissions are recorded in an access-controlled Google response sheet and imported into Orion's Arm's internal operations portal so the enquiry and related correspondence can be managed.

Google provides our form, spreadsheet and email services. Cloudflare provides access control, application hosting, database and private file storage for the operations portal. These providers act under their contractual data-protection terms and may process information outside the UK using the safeguards described in those terms.

An email sent to us will be processed by the email providers used by the sender and Orion's Arm. We use that information only to review and respond to the enquiry.

An enquiry that does not become an active opportunity is normally deleted or anonymised 12 months after our last meaningful contact. Unlinked mailbox metadata is reviewed after 90 days. Active client, project and delivery records are normally retained for the contract term plus seven years where needed for contractual, tax or legal accountability.

We review retention at least quarterly. A shorter or longer period may apply when information is no longer needed, a legal duty requires retention, or a documented legal claim requires a temporary hold.

If you ask us to erase your personal information, we will do so unless UK data-protection law permits or requires us to retain specific information. We will explain any such exception when responding to the request.

We do not sell your personal information. We share it only with the processors described above, or where required by law.

Under UK data protection law you have rights to access, rectify, erase, restrict or object to the processing of your personal information, and to data portability where applicable.
